Privacy Policy
MillianScales makes ad creative and runs paid social campaigns for local service businesses. We're based in Toronto, Ontario, Canada. This policy explains what personal information we collect, how we use and protect it, and the choices you have. We handle personal information in line with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).
1. What we collect
When you visit this website
This website has no forms or user accounts, and it doesn't use analytics or advertising cookies. Like any website, the company that hosts it automatically records standard server logs, such as your IP address, browser type, the pages you request and the time of the request. These logs are used to deliver the site and keep it secure.
The site's fonts load from Google Fonts. Your browser sends your IP address to Google when it downloads them.
When you contact us or book a call
If you email us or book a call, we collect what you give us. That's usually your name, email address, phone number, business name, website or social media pages, and whatever you tell us about your business. Calls are booked through Calendly, which handles the information you enter under its own privacy policy.
When you become a client
- Contact and billing details for you and anyone you ask us to work with. If you pay by card, a third-party payment processor handles the payment and we don't store full card numbers.
- Photos, videos and other materials you send us to turn into ads. These may show your staff, your customers, their vehicles or properties, or other identifying details.
- Access to your advertising accounts (for example, Meta Business Manager), along with the campaign and performance data inside them.
- Lead information your campaigns generate, such as the names, phone numbers and emails people submit through lead forms. We access this only to run, test and report on your campaigns. It belongs to you.
2. How we use it
- To reply to you, schedule calls and prepare quotes.
- To produce your ad creative, build and manage your campaigns, and send you reports.
- To invoice you and keep the business and tax records the law requires.
- To improve how we work.
- To show creative we made for a client in our portfolio, as described in our Terms of Service. A client can ask us to leave their work out at any time.
We do not sell personal information. We don't use one client's footage, account data or leads for any other client, and we don't use them for anything except the work you hired us for.
3. Consent
We collect, use and share personal information with your consent, except where the law allows otherwise. By contacting us or becoming a client, you consent to the uses described in this policy. You can withdraw consent at any time by emailing us, subject to legal or contractual limits. If you withdraw consent, we may no longer be able to provide some or all of our services.
When you send us materials that show other people, or run campaigns that collect leads, you're responsible for having the permissions and notices those people need. We'll handle that information only as your service provider, on your instructions.
4. Who we share it with
We share personal information only with service providers who help us run the business, and only what they need to do their job. These are:
- website hosting, email and file storage or transfer services;
- scheduling (Calendly);
- accounting and payment processing;
- the advertising platforms where we run your campaigns, such as Meta.
We may also disclose information when the law requires it, or as part of a sale or reorganization of our business. In that case, the information stays protected by this policy.
5. Storage outside Canada
Some of our service providers store or process information outside Canada, mainly in the United States. While it's there, it's subject to the laws of that country and may be accessible to its courts, law enforcement and national security authorities.
6. How long we keep it
We keep personal information only as long as we need it for the purposes above.
- Inquiries that don't become client work are deleted when they're no longer needed.
- Client records are kept while you're a client. Financial records are then kept for as long as Canadian tax law requires, generally six years.
- When an engagement ends, we remove our access to your ad accounts. We delete working files unless you ask us to keep them or we've agreed to keep them for your portfolio.
7. How we protect it
We use reasonable administrative, technical and physical safeguards appropriate to the sensitivity of the information. Access is limited to the people who need it to do the work. We ask for ad account access through the platform's own partner or user permissions, never your login password.
If a breach of security creates a real risk of significant harm to anyone, we'll notify the people affected and report it to the Office of the Privacy Commissioner of Canada, as PIPEDA requires.
8. Your rights
You can ask us to:
- tell you what personal information we hold about you and how we've used and shared it;
- correct anything that's inaccurate or incomplete;
- delete your information, where we're not required to keep it.
Email millianscales@gmail.com. We'll respond within 30 days. We may need to confirm your identity first. We honour these requests whether you're in Canada or the United States.
If you're not satisfied with how we've handled your information, please tell us first. You can also complain to the Office of the Privacy Commissioner of Canada.
9. Children
Our website and services are for businesses. We don't knowingly collect personal information from anyone under 16.
10. Changes to this policy
We'll update this page if our practices change and revise the effective date at the top. If we make a significant change that affects current clients, we'll tell them directly.
